External counterparts (customers, candidates, vendors) don't access diio directly. Instead, diio generates a Shared Space for them: a password-free web page that shows only the information you decided to share. The Shared Space is created in the Shared Space tab and can be sent by email directly from diio. Only the meeting participants can see the Shared Space and the email proposal.
What the Shared Space is
The Shared Space is a unique web page generated by diio for each meeting. Your counterpart accesses it without needing to create an account or install anything. They can view, comment on, and mark commitments as completed from that page.
How to send the Shared Space link
Open the meeting's detail view and go to the Shared Space tab.
Select which pieces you want to include by checking the corresponding boxes: Minutes, Commitments, Recording, and Chat.
Click "Create Shared Space".
If you want to see how your counterpart will see it before sending, click "Preview".
If you need to paste the link somewhere else (WhatsApp, another email, etc.), copy it from the Shared Space tab.
To send it by email from the email proposal, turn on the "Attach Recording, Minutes, Commitments, and Chat" switch.
Edit the email subject and body if needed.
Click "Send" and choose "Send via diio" (sent from [email protected]) or "My Account" (sent from your connected email account). diio sends the email and your counterpart gets access to the Shared Space.
What you can include
Minutes. The conversation analysis: the key points discussed.
Commitments. The tasks and pending items agreed on in the conversation.
Recording. The meeting video or audio with transcript. Only available if the meeting was recorded.
Chat. A messaging space between you and your counterpart within the Shared Space.
