How to record and upload an in-person meeting via WhatsApp

When the meeting takes place in person and there is no video call, diio analyzes it from audio you record on your phone and upload via WhatsApp. The result is the same as with a remote meeting: summary, commitments, playbook fields, and prediction.

Before the meeting: create the event in the calendar

Create the event in your calendar (Google Calendar or Outlook) with the meeting participants, but without a video call link. If the event has a Zoom, Meet, or Teams link, diio may interpret it as a remote meeting instead of an in-person one.

During the meeting: record with your phone

Record the audio with any recording app on your phone. There is no specific diio app for this. Key points:

Place the phone in the center of the table to capture all voices.

Enable do-not-disturb mode to avoid interruptions.

Make sure the file is in a compatible format: MP3, M4A, WAV, or OGG.

After the meeting: upload the audio via WhatsApp

Open the diio WhatsApp chat on your phone.

Attach the audio file.

diio asks whether it is a call or a meeting. Answer "meeting".

Provide the participants and their emails (used to associate with the CRM and attribute voices).

Select the corresponding calendar event.

Within a few minutes it appears as a Meeting in Conversations with the analysis status.

Why it matters to associate the audio with the calendar event

When you associate the audio with an existing event, diio can link the meeting to the correct contact and deal in the CRM, and apply the playbook you had assigned for that event. If you don't associate it, diio analyzes the audio but may not correctly classify the meeting in your pipeline.
