Seats are the licenses that let users with the Executive role use diio and have their conversations analyzed.
From the platform you can increase or reduce the number of contracted seats to fit your team's needs.
1. Who needs a seat?
In diio, only users with the Executive role use up seats.
The following roles don't require a paid license:
Leader: can view and support their team's conversations.
Coordinator: can manage operational aspects of the team according to their permissions.
Admin: can manage the account settings according to their assigned permissions.
Observer: can access the platform with view-only permissions.
For example, if your company has 10 Executives, 2 Leaders and 1 Admin, you need to contract 10 seats.
2. How do you add more seats?
If you've brought new Executives onto your team and need more capacity, you can purchase additional seats directly from diio.
Step by step:
Log in to your diio account.
Go to Company settings.
Open the Seats section.
Click the + button
Enter how many additional seats you need to purchase.
Review the cost the system shows, prorated to the current billing period.
Click purchase seats.
Once the purchase is confirmed, the new seats are immediately available to assign to users with the Executive role.
Important: Additional seats are charged to the payment method on file for your account and are prorated to the current billing period.
3. How do you reduce the number of seats?
If your team has shrunk or you no longer need some of your contracted seats, you can request a reduction from the billing section.
Keep in mind that a seat reduction applies starting with the next billing cycle. That means the seats you release still count toward the current period.
Step by step:
Log in to your diio account.
Go to Company settings.
Open the Seats section.
Click the - button
Enter how many additional seats you need to purchase.
Review the cost the system shows, prorated to the current billing period.
Click purchase seats.
Important: Deactivating or removing a user's access doesn't necessarily reduce the number of contracted seats. You also need to manage the number of licenses from the Billing section.
4. What permissions do I need to change seats?
To purchase or release seats, you need the Billing Admin permission.
This role lets you manage:
Purchasing and releasing seats.
Payment methods.
The company's tax information.
Invoices and payment history.
Plan changes.
If you don't have this permission, ask the person in charge of billing administration at your company for help.
5. Frequently asked questions
Can I add seats at any time?
Yes. You can purchase additional seats whenever you need them. They're available immediately, and the charge is prorated to the current billing period.
When does a seat reduction take effect?
The reduction applies starting with the next billing cycle.
Do Leaders and Admins use up seats?
No. Seats are used only by users with the Executive role.
What happens if I deactivate an Executive?
Deactivating someone's access doesn't automatically reduce the number of contracted seats. If you need to lower your licensing, you also have to request the reduction from the Seats section.
Can I have more users than contracted seats?
Yes, as long as the additional users have roles that don't use up seats, such as Leader, Coordinator, Admin or Observer. To assign the Executive role, you need an available seat.
